How to Add Employees to a HandPunch Time Clock Without Them Being Present

HandPunch biometric time clocks allow supervisors to pre-enroll employees in advance — even when the employee is not physically at the terminal. This feature is useful for onboarding new hires, preparing large groups ahead of start dates, and reducing congestion during busy shifts. Once preloaded, employees can later be fully linked to their biometric template when convenient. Following the correct supervisor enrollment sequence ensures records are created cleanly and can be finalized later without data issues.

Pre-Enroll Employees Using Special Enroll Mode

This process creates employee ID records in the clock so biometric enrollment can be completed later.

Begin by entering supervisor mode at the clock:

• Press Clear/Enter, then release

• Enter your supervisor ID number

• Select 5 # (Special Enroll)

• Select # (YES) to confirm

Now add the employee:

• Enter the employee’s ID number

• Place your hand on the platform once to initiate the first enrollment That completes the initial setup.

To continue adding more employees:

• Select Special Enroll again

• Press # (YES)

• Enter the next employee number

• Press 3 (YES) You will not need to place your hand again for each additional employee.

When finished:

• Press Clear several times to exit supervisor mode

At this point, all employee numbers exist in the clock and are ready for biometric linking.

Link Each Employee’s Handprint Later

When employees are available to complete biometric enrollment, follow this short cleanup and re-enroll process to connect their actual handprint to their ID.

Steps:

• Poll the clock to retrieve current punch data

• Enter supervisor mode

• Select 4 # (Delete Employee)

• Press NO until you see Delete Employee

• Enter the employee number and delete it

Then re-enroll properly:

• Press NO until you see Enroll Employee

• Enroll the employee again

• Have the employee enter their number

• Have the employee place their hand on the platform as instructed

This permanently links the biometric template to the correct ID.
