We sell and service Icon Time Systems products, we have been doing this since 1991.  This is an actual correspondance from a customer in Honduras.  We solved the problem for her in a jiffy.

Hi Karen,
1)Try rebooting the computer, 
2) Go to the time clock screen in the software and clock the test button on far right,
3) If you still can't communicate properly with time clock you may want to switch com ports as the one you are using my be going bad. 
4)lastly...inspect the cable and see if it has been pinched or damaged in any way.  If that is the case follow the link to purchase replacement cable.
